GRS changes update

Typing

The Trust is aware of some information recording errors on GRS relating to but not limited to the following:

  • Calculating of annual leave
  • Calculating of unsocial hours work
  • Balancing arrangements to meet contractual hours
  • Meal break calculations applied to working patterns

The full extent of the issues are yet unknown and further investigations are ongoing and will enable us to understand this and therefore understand the actions required to address them.

In the meantime, it’s is essential that we limit any further occurrences. Therefore, with effect from 1st May 2019 the following process must be followed when applying any changes required for GRS.

For any changes that require the completion of an HR2 all managers must complete the attached revised version correctly and in a timely manner. Once completed the HR2 needs to be sent to the following email addresses:

Please note incorrect or non-completion of the form to the relevant email addresses, and within specified timescales may result in a failure to action the changes and therefore be impactive on payroll. In the event of your submission being rejected, please do not request an advance payment for your employee as this will not be authorised.

Please also note that requests received in an email and not submitted on the relevant form, will not be actioned. The only permitted exception will be where urgent changes are necessary and submitted without a supporting form. In this instance they must be submitted via, and with the approval of the individual’s GM or Sector Head.

For any change that does not require an HR2 form, the below form will need to be completed in all cases in order for any change to occur and sent to rosteringservices@eastamb.nhs.uk, noting as above incorrect or non completion of the form to the relevant email addresses, and within specified timescales may result in a failure to action the changes. Rostering Services require seven working days to process any requests.
